Overview

The B2B Project Coordinator supports our Account Executives and internal sales team in delivering Custom Space solutions throughout the sales cycle, including designing, quoting, order processing, installation, and post-order follow-up. This role has a strong focus on new construction projects and requires close, ongoing coordination with General Contractors to keep projects on schedule from initial design through final installation. This employee will work closely with Operations Managers and partner with other departments at DFW to drive business sales. This is a full-time, hourly, non-exempt position.

Responsibilities

  • Exercises effective prioritization skills to manage multiple B2B projects daily and meet deadlines as directed by the Operation Managers
  • Maintains consistent communication with other departments that impact B2B (e.g., Stores, Transportation, Fulfillment, Installation, Buying, Marketing, and others) to ensure the success and completion of individual orders and projects
  • Establishes an effective and professional relationship with our Account Executives, installation partners, internal business partners, and customers
  • Partners directly with General Contractors and other new construction trade partners to coordinate scheduling, site readiness, and installation timelines, ensuring alignment between store operations and the construction schedule
  • Applies project management skills to track new construction project timelines, milestones, and deliverables in Procore and Bluebeam, proactively flagging risks to project schedules or budgets
  • Supports the development of sales opportunities, including designing, quoting, placing orders, post-project follow-up (e.g., scheduling and confirming product delivery), and providing billing details as needed
  • Demonstrates a strong understanding of workflows and processes and can follow them thoroughly
  • Ensure projects stay on track, have appropriate service levels, while protecting the projects overall profitability
  • Focuses on driving department and company initiatives with determination and a positive attitude
  • Performs other requested tasks and duties

Qualifications

  • College degree preferred
  • Ability to provide competent customer service over multiple communication channels to complete business orders
  • Working knowledge of new construction projects, including typical project phases, timelines, and the roles of the parties involved
  • Experience working with General Contractors, with the ability to build strong working relationships and coordinate effectively across construction teams
  • Familiarity in Procore, Builder Trend and Bluebeam is a plus but not required
  • Project management experience, with the ability to manage multiple new construction projects simultaneously from start to finish
  • Excellent organizational skills, with a high level of attention to detail across multiple concurrent projects and deadlines
  • Excellent Excel skills required, along with strong computer skills and proficiency in Outlook, Word, and Salesforce
  • Is committed to working scheduled hours and has the flexibility to work additional hours based on changing business needs
  • Knowledge of industry business and passion for following trends in the industry
  • Ability to communicate clearly and effectively in a professional manner, both orally and in writing, at all levels within and outside the organization
  • Ability to quickly separate the mission-critical tasks from the lower priority tasks; focuses on the most value-added projects of the day or week
  • Flexible, with a positive attitude and passion for knowledge
  • Strong time management and organizational skills with the ability to successfully manage multiple projects at once
  • Possesses focused attention to detail while working quickly and accurately under pressure
  • Makes strategic and effective decisions in the best interest of our customers and our company, taking care to objectively process information
