Overview

The Lease Administration Manager manages all aspects of the landlord-tenant relationship, from the letter of intent to the end of the term. This position assists the Vice President of Real Estate and the Development team in preparing for Real Estate Committee, reviews each lease, managing construction dates, allowance and reimbursement submittals, oversees document execution, transmittal and management, assures that landlords and the Company meet the requirements of each lease during its term, and manages lease extensions, renewals and terminations, if applicable. 

 

The Lease Administration Manager assures that lease documents are drafted responsibly and interpreted accurately, that all payments of rent and operating expenses are in compliance with lease terms, and that payments to landlords are processed in a timely manner. This position works closely with the VP of Real Estate, supervises the Lease Administrator and supports the full Real Estate team as needed.

Responsibilities

  • Supervises the Lease Administrator to assure that all lease administration activities are handled in a timely and responsible way.
  • Works closely with Vice President of Real Estate and the Development team to gather information for monthly Real Estate Committee meeting from multiple sources (eSite reports, Store Planning, broker information, landlord marketing information, internet research and store performance data) and prepare PowerPoint presentation.
  • Reviews active letters of intent and lease drafts before execution to assure that the Company’s interests are protected and its operational needs are met, with specific focus on lease timing, construction costs, lease term, rent and operating costs.
  • Coordinates with Lease Administrator to enter and/or verify that all lease clauses, dates, recurring payments, etc. are abstracted into the lease administration database accurately and that review of the abstraction has been completed and documented in compliance with Company audit requirements.
  • Facilitates communication of critical lease terms and dates to all members of the Real Estate Department, as well as various other internal stakeholders.
  • Creates and manages annual fiscal expense plan of over $120,000,000 for all occupancy expenses, plus monthly accrual and quarterly updates, in addition to departmental expenditures for software, travel, consulting fees, legal fees, etc.
  • Monitors receipt of required information from landlords related to operating expenses and supports Lease Administrator in evaluating that information for appropriateness under the lease, expense caps and pro rata percentages.
  • Maintains the Company’s templates for letters of intent and communicates those templates to applicable brokers and outside consultants.
  • Assures compilation and submittal of requests for allowances and reimbursements and communication of status of those payments to Vice President of Real Estate, Development team, Accounting and Finance on a weekly basis.
  • Assures that tenant-executed documents are returned and/or recorded in a timely manner.

Qualifications

  • College degree preferred
  • 3-5 year lease administration experience in a retail environment preferred
  • Based in Dallas/Ft. Worth area on a hybrid schedule 
  • Must have ability to understand legal terminology and interpret lease clauses and to understand how they affect our business
  • Must have strong verbal, written and mathematical skills
  • Strong computer skills required, with a high level of proficiency in all Microsoft Office applications
  • Must have excellent analytical skills and demonstrate use of independent judgment
  • Must be at least 18 years of age
